When there is no formal contract in place yet, I will retain your contact details and initial email enquiry/referral received in preparation for the start of therapy. This is necessary to make the arrangements required in order to start therapy.

I collect GP details and emergency contact information (name/phone number). I also may collect the contact details of other medical practitioners working with my clients in the event of needing to introduce myself to them, or to work collaboratively to support the client. This could be details of mental health, psychological and psychiatric services that the client is also attending.

Vital interests – collecting or using the information is needed when someone’s physical or mental health or wellbeing is at urgent or serious risk. All of your data protection rights may apply, except the right to object and the right to portability.

How long I keep information

Data Retention Policy:
I take your privacy seriously and retain your personal data only for as long as necessary to comply with legal, ethical, and professional obligations. Below is an outline of how long different types of information are kept:
1. Client Records (including contracts, emails, therapy notes, and correspondence)

Adults (18+): Retained for 7 years after your last session to comply with professional standards and legal requirements.

Clients under 18: Retained until they turn 25 years old (or 26 if aged 17 at the time of last contact) in line with NHS and legal guidelines for minors.
2. Financial Records (invoices, receipts, and payment details)

Retained for 6 years after the end of the relevant tax year, as required by HMRC.
3. Supervision Notes

If containing identifiable client information: 7 years after last contact (or until age 25/26 for clients under 18).

If anonymized: May be retained indefinitely for professional development.
4. General Correspondence (non-client-specific emails and admin queries)

Retained for 1-2 years, unless relevant to legal or clinical matters.
5. Insurance Documents & Contracts

Retained for at least 7 years after my practice ends, in case of future claims.
6. GDPR & Subject Access Requests (SARs)

Retained for 1-2 years after the request is completed unless related to an ongoing legal matter.
How Your Data is Stored & Disposed Of
